Running a Monitor Visit Document Request Board | PeptideStaff

Monitor requests can arrive in waves before a visit. When each request becomes a separate email chain, the site loses track of ownership and duplicate copies appear. A board can organize the preparation without deciding what monitoring conclusions mean.

Define the record before the shift starts

Create one line per requested artifact with the monitor's wording, request time, due date, source-system link, preparer, review owner, delivery channel, and status. Use references rather than downloading controlled documents into an open workspace. Keep superseded versions visible as history.

Work from the controlled source

The preparer locates the approved source, confirms the requested date range, and sends the item through the authorized review step. Questions about redaction, essential-record status, protocol interpretation, or participant privacy go to the named authority. Administrative speed does not justify bypassing review.

Keep the authority boundary visible

After delivery, retain confirmation and any return reason. Reopened requests should link to the prior attempt so the team can see what changed. Close only after confirmed delivery or written withdrawal by the requester or authorized site owner.

A useful desk procedure names a primary owner, a backup, the permitted communication channel, and the event that triggers escalation. If any of those are missing, the coordinator should surface the gap instead of improvising a rule.

Review the trail and the total

Managers can sample the oldest open item, one recently closed item, and one item that changed owners. The trail should explain what arrived, what action followed, and why the work closed. Repeated missing fields or repeated transfers may point to a process problem, but the counts alone do not establish cause or employee performance.
