A certificate of analysis can arrive on time, contain every expected heading, and still fail to support the material in front of the receiving team. The lot may not match. A page may be missing. The specification may belong to another grade. The document may have been forwarded without a traceable source.
Completeness screening helps surface those problems. It is not a release test.
Map the certificate to the receipt
Start with the supplier's approved identity, material name and code, purchase order, received lot or batch, quantity, receipt date, certificate source, and document version or issue date where shown. Preserve the original file and message or portal record used to obtain it.
A screening checklist may compare the lot, material, manufacturer or site, tests listed, results, units, specification references, dates, page count, and approval fields required by the organization's procedure. The checklist should distinguish "present" from "acceptable." An administrative reviewer may confirm that a field exists. A qualified reviewer determines whether its content meets requirements.
ICH Q7, available through FDA, describes GMP expectations for active pharmaceutical ingredients, including materials management, laboratory controls, records, and supplier-related controls. FDA CGMP and data-integrity guidance stress reliable records, appropriate controls, and retention of evidence. Applicability depends on the material and regulated activity.
Handle exceptions without repair
If the lot differs, a page is unreadable, or the source is unclear, record the exception and request a corrected or confirmed document through the approved supplier contact. Do not edit the certificate, combine pages from different versions, or relabel it locally.
Keep superseded documents according to retention and document-control rules. Link the quality decision, investigation, supplier response, or test record used to resolve the issue.
Scope and limitations
This article provides a general evidence map. It does not define a specification, sampling plan, identity test, reduced-testing program, supplier qualification standard, or release decision. Quality requirements vary by material, intended use, supply chain, jurisdiction, and applicable GMP or research controls.
Document screening cannot prove authenticity, method suitability, data integrity, or material conformance. It also cannot substitute for receipt inspection, testing, supplier oversight, and authorized quality-unit review where those controls apply.
