When the sample record and freezer position disagree

A sample-location reconciliation routine for peptide research operations, with custody evidence and escalation limits.

A database location and a physical storage position can disagree for ordinary reasons, but an administrator should not guess which one is right. A reconciliation queue preserves the two observations for qualified review.

This routine covers record comparison. It does not authorize sample handling, relabeling, disposal, scientific interpretation, or a chain-of-custody decision.

Define the comparison

Choose the approved population and record the sample identifier, expected location, observed location reference, observation time, reviewer, and source systems. Follow site safety and access rules. Administrative staff should never enter controlled storage or handle material without training and authorization.

Classify results as matched, mismatch, unable to locate evidence, not applicable, or escalated. Do not merge a missing system record with a physically missing sample.

Preserve both sides of a mismatch

Keep screenshots, scan receipts, or other approved evidence without overwriting the original record. Assign the exception to a scientific, quality, or custody owner. The owner decides whether a correction, investigation, or other action is required.

Record each handoff, due time, and disposition. If evidence changes during review, keep the earlier observation in the audit history.

Review the denominator

Report the number selected, examined, matched, mismatched, excluded, and unable to verify. A percentage without those counts can hide incomplete access or a changing sample population.

The comparison does not establish sample identity, integrity, storage suitability, or research validity. It only tests agreement between defined records at a point in time.

Close after the authorized record is complete

Closure requires the owner's disposition and evidence of any approved record update. PeptideStaff can assemble and track the queue. Qualified laboratory staff retain custody, scientific, quality, and compliance authority.
