A signed page in an inbox is not necessarily the page required for the current study file. The administrative check is narrower: identify the document, match it to the expected version, and preserve the receipt trail.
This routine does not determine whether a signature is legally valid, whether approval was adequate, or whether study work may proceed.
Record the expected page
Start with the controlled protocol record. Capture study identifier, protocol number, version, effective date, expected signer role, source location, and due date. Then record the received page and timestamp without altering it.
If the version, signer, or date is unclear, classify the item as an exception. Do not correct the document or infer what the signer intended.
Keep follow-up administrative
Assign one coordinator to send approved reminders and one authorized owner to review exceptions. Record delivery outcomes and accepted handoffs. Protect signatures and study details under the applicable access policy.
Useful statuses are expected, received, version mismatch, incomplete, owner review, and filed. "Filed" should require a link or receipt from the designated repository.
Reconcile the register
Review overdue pages, duplicates, unexpected versions, and received documents not yet filed. Keep unable-to-verify cases separate from confirmed missing pages. A periodic sample can test whether the source links still open.
Counts describe document flow. They do not prove protocol compliance, authorization, or study validity.
Close with repository evidence
Close after the correct repository shows the accepted document or an authorized owner records another disposition. PeptideStaff can manage the register and reminders. The sponsor or research organization retains legal, scientific, quality, and approval authority.
