An instrument data export needs more than a copied folder

An administrative export-receipt check for peptide research data, with source evidence and scientific boundaries.

A folder at the destination proves that something moved. It does not prove that the expected instrument data arrived intact or can support the intended work. An administrative check can organize the receipt evidence for technical review.

This routine does not validate software, authenticate data, assess scientific completeness, or authorize deletion from the source system.

Define the expected transfer

Record the instrument or source system, run identifier, expected file set supplied by the owner, export time, destination, transfer method, and responsible people. Avoid placing credentials or sensitive paths in an open queue.

The scientific or system owner defines what the export must contain. Administrative staff may compare a supplied manifest with the destination and record visible differences.

Separate receipt from acceptance

Use statuses such as expected, transferred, receipt checked, exception, technical review, and accepted. A file count or checksum may be recorded when the approved procedure provides it, but the administrator should not invent a verification method.

Preserve the original transfer receipt, exception details, owner, and review deadline. Do not rename, transform, or remove source data without authorization.

Reconcile exceptions

Review failed transfers, missing manifest entries, duplicate exports, and items waiting for technical acceptance. Report expected and received populations with exclusions and unable-to-verify results.

An administrative match cannot show that files are readable, attributable, scientifically complete, or fit for analysis. Those conclusions require qualified review under the governing procedure.

Close on technical acceptance

Close only after the authorized owner accepts the export or records another disposition. PeptideStaff can maintain the receipt queue and evidence links. The organization keeps all scientific, quality, security, retention, and deletion authority.
