A referral can be present in the record and still go nowhere. The usual warning sign is a status such as "pending" with no person responsible for finding out what happens next.

This workflow is for administrative coordination. It does not determine clinical appropriateness, coverage, eligibility, or referral acceptance.

Build the record from received evidence

Capture the referral identifier, received date, sending organization, intended destination, current source status, and evidence link. Note whether the file can be opened and whether the destination acknowledged receipt. Do not treat a fax confirmation as proof that a clinician reviewed the referral.

Use the organization's identity and minimum-necessary rules before discussing a record with another party. A coordinator may verify routing facts under an approved script. Questions about care, medical necessity, or patient risk belong with an authorized clinician.

Make ownership testable

Assign one person and one follow-up time. If another team accepts the item, record who accepted it and when. Keep the former owner in the history so a supervisor can reconstruct the handoff.

Useful statuses are received, sent, acknowledged, waiting, escalated, and closed. Add a reason whenever the item waits. "Waiting for destination response until 3 p.m." is more useful than "pending."

Review stalled referrals

At each queue review, find entries with no owner, no next action, a failed transmission, or an elapsed follow-up time. Separate missing evidence from a confirmed routing error. They require different responses and should not be counted as the same result.

Track volume, aging, acknowledgments, escalations, and items that could not be verified. Those measures describe the queue. They do not establish why a referral was delayed or whether the underlying care decision was correct.

Preserve the final handoff

Close the administrative task only after the required acknowledgment, documented disposition, or accepted escalation appears in the system of record. PeptideStaff can maintain the ledger and approved follow-ups. The clinic defines the procedure and keeps authority over clinical, legal, privacy, and financial decisions.
